Emails
Settings → Emails controls how email from your workspace looks and reads: the domain it’s sent from, the signature and footer on every message, the note a buyer gets after signing, and the wording behind the messages your Shadow drafts.
Who can use it: everyone can view it. Only an Admin can change the sending identity, signature, footer and post-signature message. Admins and Managers can edit message templates.
Each seller’s own From name and reply-to address are set on their Profile.
Email sending identity
Section titled “Email sending identity”Shadows sends your workspace’s email from a Managed subdomain. It works out of the box: no DNS changes needed. The card shows the subdomain and its status. Buyer replies come back into Shadows and are matched to the right deal automatically.
Outbound compliance
Section titled “Outbound compliance”Set what’s added to every outbound email:
- Signature — for example “Best, The Acme Corp team”.
- Compliance footer — typically your company’s legal name and postal address.
- Include an unsubscribe link — turn it on and set the Unsubscribe link text.
After the buyer signs
Section titled “After the buyer signs”When a buyer signs, they receive a short email with your logo, the signed documents attached, and the seller’s sign-off. Write your own paragraph in Message to the buyer, or leave it blank to use the default. Click Save.
Message templates
Section titled “Message templates”Message templates are the fixed wording behind messages your Shadow drafts. Your version is used on every new draft. There are three kinds:
- Buyer messages — drafts that open in the Contact center.
- Meeting notes — the note to attendees when a meeting moves.
- Room update email — the reminder a stakeholder gets about their Buyer Space.
Edit a template
Section titled “Edit a template”- Click the template to open it.
- Pick the language you want to change. Each language has its own version; a dot marks languages you’ve customised.
- Edit the Subject and Message. Use Insert a field to add placeholders such as the buyer’s name.
- Check Preview on a sample deal.
- Under Always attach, add files from a product’s Assets that should go on every draft of this template, in every language. The seller can still remove them from a draft.
- Click Save for that language (for example Save English).
Click Reset to default to go back to the standard wording.
Every drafted message still goes to the seller for approval before it’s sent. See Approval queue.
