Discount approvals

Every member of your workspace has a discount cap: the largest discount they can publish on their own. Go above it and the quote can’t be published until someone with more authority approves it. This article explains how that works for the person asking and for the person approving.

Requests climb one ladder, from Sales Rep to Manager to Admin:

  • At or under your own cap: no approval needed. You can publish.
  • Above your cap, up to the manager cap: your team’s manager approves. Every manager of your team is notified, and any of them can answer.
  • Above the manager cap: an Admin approves directly. The request skips the manager step, because a discount that large needs the top tier’s sign-off anyway.

If you’re a Manager yourself, requests above your cap go straight to an Admin. Admins have no cap.

Admins set the Sales Rep and Manager limits for the whole workspace in the Approval ladder card at the bottom of Settings → Team. Your team still decides who approves: it’s your own team’s manager. See Team and roles.

  1. On the Pricing tab, set the discount and fill in its reason. See Pricing and quotes.
  2. The guardrail says Needs approval before publishing. Click Ask … for approval. The button names the person the request will go to.
  3. In Request approval, check what’s being asked: the whole quote or the specific lines, and the price effect.
  4. Add a note for the approver explaining why this deal needs it, for example the competitor’s number. The buyer never sees this note.
  5. Click Send request.

You’ll see Approval requested with the approver’s name. The request appears on the deal’s Discount approvals board under the Pricing tab, and your task list shows that you’re waiting on the approval.

You can keep only one open request per quote. Sending a new request replaces this one.

Open the request from the board to see its conversation. If the approver asks you a question, the request moves to Clarification, and your reply goes straight back to them. To cancel, click Withdraw request.

The guardrail changes to Approved — ready to publish, and the button reads Publish (manager-approved). Click it to publish. The approval applies to this quote only: you can publish it at up to the approved discount without asking again, and it has no effect on your cap for other deals.

If the approver countered with a lower discount, your pricing is updated to match. Review it before you publish.

You’re notified when a request needs you, and you get a task for it. The link opens the request in a side drawer on the deal.

The drawer shows who asked, what they asked for, the reason shown to the buyer, and the Price effect: list price, the discount already on the quote, the additional discount asked for, and the margin after. For line-item requests, each line is listed with its own discount.

Under Your decision, choose one:

  • Approve at the percentage asked. The button shows it, for example Approve 15%, or Approve as asked for line-item requests.
  • Counter: enter a lower percentage and approve at that. For line-item requests, lower any line below what was asked or decline it, then click Approve with changes.
  • Ask for a reason: send the requester a question. The request moves to Clarification until they reply.
  • Decline

The requester sees your decision on the deal right away.

Each deal’s Pricing tab has a Discount approvals board with three columns: Pending, Clarification, and Approved & declined. Click any card to open the request. Anyone who can view the deal can read the requests; only the approver can decide, and only the requester can withdraw.
