Go live and share
A Buyer Space has two separate controls. Live / Off decides whether buyers can open the room at all. Stakeholder access decides who can open it and which stages each person sees.
Go live
Section titled “Go live”You can go live from either place:
- From the deal page: open the menu next to the Buyer Space button and choose Go live. The same switch is on the deal’s Buyer Space tab under Status.
- From configure mode: click Go live in the top bar. Save your changes first, because going live publishes what’s saved, not your unsaved draft.
Before the room goes live, Shadows checks it:
- Empty sections are listed under “Some sections have no content yet.” They stay hidden from the buyer. Click Edit to fill them in, or Launch anyway.
- Translations waiting for your review must be reviewed first. See Room language and translations.
To take a room offline, choose Turn off from the same menu or switch. Buyers can’t open it until you turn it back on. Their access grants are kept.
Add and invite stakeholders
Section titled “Add and invite stakeholders”Every person on the buyer side gets their own access, linked to their contact record. Manage them on the deal’s Buyer Space tab, in the Stakeholders card.
- Click Invite stakeholder. If the room is off, the button says Add stakeholder.
- Choose an existing contact at the buyer’s company, or fill in a new name, email, phone number, and role. A new person is created as a contact on the deal and its company.
- Set their Permission:
- Approver: reviews and approves steps.
- Reviewer: reviews and acknowledges steps, with no sign-off.
- Under Buyer Space permissions, choose the stages they can open. Leave them all unselected for full access, which is the primary buyer’s default. Once you select a stage, you can narrow it further to specific sub-stages.
- If the room is live, review the Invitation email (subject and body; the greeting is filled in from their name) and click Send invitation.
The permission and stages are pre-filled from your deal flow’s Stakeholders step, based on the role you pick. You can change them for this person.
If you add someone while the room is off, they’re added to the roster without an email. Shadows then asks Go live now? and offers Invite (just this person), Invite everyone, or Not now.
Share a link
Section titled “Share a link”To send or copy a personal link:
- On the deal page, open the Buyer Space menu and choose Share link.
- Under Send to, pick one or more stakeholders or contacts. Contacts not yet on the deal are added as stakeholders.
- Edit the subject and body if you want, then click Send. Each recipient gets their own email with a personalised greeting.
To share the link yourself, select one recipient and click Copy link instead.
Sending an invitation or a link to a room that’s still off takes it live, so the link never arrives broken.
Email verification
Section titled “Email verification”By default, Verification is Required. The first time someone opens the room, they confirm their email with a one-time code (“Verify it’s you”). Codes last 30 minutes. If someone who isn’t on the deal tries to get in, your team is told.
You can turn verification off on the deal’s Buyer Space tab. Shadows warns you first. With verification off, anyone with the room link can get in, including if the link is forwarded or leaked.
How visibility works
Section titled “How visibility works”What each person sees is decided by their stage access, and nothing else:
- A stakeholder sees only the stages and sub-stages they’ve been given. A stage outside their access isn’t sent to their browser at all, not just hidden.
- Widgets don’t have their own audience. Everyone who can open a sub-stage sees all of its widgets.
- Pricing is visible only to people who can open the sub-stage holding the Quote widget.
Who approves each step comes from the Stakeholders matrix in your deal flow. There, each role is marked Not involved, Reviewer, or Approver per sub-stage. The buyer’s champion can approve any step.
Buyers can invite colleagues
Section titled “Buyers can invite colleagues”Inside the room, buyers can click Invite a colleague, choose a role, and tick the stages that person can open. A buyer can only share stages they can see themselves. The champion can also change a colleague’s permissions. New colleagues appear on your Stakeholders card.
Remove someone’s access
Section titled “Remove someone’s access”- On the deal’s Buyer Space tab, hover over the stakeholder in the Stakeholders card and click the edit (pencil) icon.
- Click Remove access.
Their link stops working and they can no longer open the room.
Nudge a stakeholder
Section titled “Nudge a stakeholder”Use Nudge on a stakeholder card, or on a row in the shared buyer journey, to remind someone that a step is waiting on them.
