The Activity tab
The Activity tab is the deal’s full history: every message, meeting, Deal Room visit, CRM change, and internal note, newest first. It stays open even after a deal is closed, so the record is always readable.
Filters
Section titled “Filters”The row of filters at the top reshapes the same history for the job at hand:
| Filter | What it shows |
|---|---|
| All activity | Everything, newest first, grouped by day |
| Messages | Every conversation on the deal, with a composer for replying |
| Meetings | Meetings you logged or booked, with their summaries and follow-ups |
| Buyer Space | What buyers did in the Deal Room: visits, views, clicks, downloads |
| CRM changes | Stage moves and field updates |
| Notes | Internal notes on the deal |
In All activity, older days are folded away. Click Show earlier activity to reveal them.
Repeated Deal Room visits are grouped
Section titled “Repeated Deal Room visits are grouped”A buyer who reloads or revisits the Deal Room several times in a day would otherwise fill the feed with identical rows. Instead, the same action by the same person on the same day appears as one row with a count and a time span, for example Priya viewed the room · 6 times · 09:12 AM – 09:26 AM.
The same goes for video, deck and embed views: each viewing appears once, showing how far the buyer got.
Nothing is lost. Grouping only changes how the Activity tab displays these events. For per-stakeholder engagement, see The Buyer Space tab.
Messages
Section titled “Messages”Messages lists every conversation on the deal, grouped into:
- Stakeholders: your one-to-one conversations with each buyer.
- Group: shared threads. Team chat (the Deal Room’s room-wide chat) comes first, then group threads, then the buyer’s chat with the AI Concierge, which you can read but not reply to.
- Asked about: questions buyers asked about a specific part of the Deal Room.
- Between stakeholders: private messages between two buyers in the Deal Room. You can read these but not reply.
A red dot marks a conversation waiting on you. Click a conversation to open it; the composer sits under the thread. If the Shadow has a draft ready for that conversation, it’s already in the composer. See Approving the Shadow’s drafts.
When a buyer message is still waiting for a response, its row in All activity links straight to the conversation.
Meetings
Section titled “Meetings”Meetings shows each meeting with its format, date, Attendees (and their responses to the invite), your summary, and What came out of it. A booked meeting that hasn’t happened yet shows as upcoming, and once its time has passed it shows as awaiting a debrief.
Log a meeting
Section titled “Log a meeting”Shadows doesn’t pull in call recordings or transcripts, so you log meetings yourself:
- On the Activity tab, open the menu next to Add note and choose Add meeting.
- Pick the format and date, and add everyone who attended under Who attended. Link existing contacts, or create a contact for someone new.
- Under How did it go?, write a line or two: the outcome, the next step, any concerns, and who else is involved. You can dictate it instead of typing.
- Continue. The Shadow reads your summary and suggests what’s next, such as follow-up tasks or a pricing change.
- Review the suggestions and apply the ones you want. Anything that touches pricing goes to the Pricing draft for you to review. Nothing goes to the buyer until you publish it.
If you’re not ready to decide, close the wizard. The suggestions stay on the meeting, shown as a count of suggestions waiting, until you come back to review them.
Notes are internal. The buyer never sees them. Use them for anything you know that the record doesn’t.
- Click Add note at the top of the Activity tab, or choose New note from the Contact center menu in the deal header.
- Give it a short heading and write the note.
- Save. You’ll see Note added — synced to your connected CRM if a CRM is connected.
Export the activity log
Section titled “Export the activity log”Open the More activity actions menu (the ⋮ button) and choose Export CSV to download the deal’s activity.
Who can do what
Section titled “Who can do what”Anyone who can open the deal can read its activity and export it. Adding notes, logging meetings and replying require being able to change the deal. On a closed deal, the composers are removed but the full history stays readable.
