Privacy and access
Your personal link
Section titled “Your personal link”Every person invited to a Deal Room gets their own link. It’s tied to you — your name, your role and the parts of the room you’ve been given access to. There’s no password to remember; the link is your way in.
- First time: the room opens straight away from your link.
- On another browser or device: you’ll be asked to verify it’s you. Enter the email address you were invited with, then type in the code we email you.
A few details about the code:
- Look for an email titled “Verify it’s you.” It can take a few seconds to arrive.
- Each code works once and expires after 30 minutes. Click Send a new code if it’s expired.
- After too many wrong attempts, code entry pauses — use Resend code to get a new one.
- Typed the wrong email? Click Wrong email? Start over.
What the seller can see
Section titled “What the seller can see”The Deal Room is a shared space with the seller, and it’s designed to help them respond to you quickly. To be clear about what that means, the seller’s team can see:
- When you visit the room, and how many times.
- How long you spend on each step.
- Which documents you open, how much of a video you watch, and how many slides of a presentation you view.
- Whether you opened an embedded page (for example an interactive demo). What you do inside that page isn’t visible to them.
- What you ask the AI Concierge and the messages you send.
- What you do in the room — steps you approve or acknowledge, colleagues you invite, files you upload, forms you send, and options you choose such as “Revisit this later” or “Not interested”.
- When you sign, including the timestamp and IP address recorded with your signature.
The seller can’t see what you do outside the Deal Room.
Who else can see your activity
Section titled “Who else can see your activity”Your colleagues in the room can see who’s involved, read Team chat, and see when steps have been approved and by whom. They don’t see your direct messages with other people or your conversation with the AI Concierge.
When a link stops working
Section titled “When a link stops working”You might see one of these messages:
- This space isn’t available — the link may have expired. Use the button on the screen to email your account executive for a fresh link.
- This space has been closed — the seller has closed the room. Contact them if you still need access.
The seller can turn off anyone’s access link at any time — for example, if someone leaves your company or was invited by mistake. If you need a colleague’s access removed, ask your account executive.
