How a Deal Room works

A Buyer Space (Deal Room) is a private web page for one deal. Your buyer and their colleagues open it with their own personal links. Everything in it is current: documents, pricing, the action plan, and who still needs to do what.

Each deal has at most one Buyer Space. It’s created automatically the first time anyone on your team opens or previews it from the deal. You don’t need to create it by hand.

The room starts from the Space template set for the deal’s flow. From there you can change it for this deal. Your changes stay in this room and don’t affect other deals.

Stages and sub-stages come from your deal flow

Section titled “Stages and sub-stages come from your deal flow”

The room follows your deal flow. You don’t build the structure for each deal.

  • Stages: the row across the top of the room. A flow can have up to six stages, for example Discovery, Evaluation, Proposal, Close.
  • Sub-stages: the steps inside each stage, shown in the left-hand navigation. Each stage can have up to five.
  • Widgets: the cards inside a sub-stage, such as a document list, a video, a checklist, or the quote. See the widget catalogue.

If you change a deal’s flow from the deal page, the room’s layout resets to the new flow’s default template. If the room is already live, buyers see the new layout right away.

Besides the widgets, every room includes:

  • A banner with your logo, the buyer’s logo, and a title and subtitle you can edit.
  • Your next step: a card that always shows the one thing waiting on this viewer.
  • Your offer: the price and the Accept & sign button, once a quote is published.
  • People: everyone involved on both sides, with an Invite a colleague button.
  • Messages: team chat, direct messages, and the AI Concierge.
  • A welcome message (“Why am I here?”). You can write a shared message or a personal one for each person.

Each stakeholder sees only the stages they have access to. See Go live and share.

Buyers move through the room by confirming sub-stages:

  • An Approver signs off on the steps assigned to them (“Confirm – my part is done”).
  • A Reviewer marks steps as viewed (“Viewed & acknowledged”). No sign-off is needed.

Who is asked to approve each sub-stage comes from the Stakeholders step of your deal flow, where each role is set to Not involved, Reviewer, or Approver for each sub-stage. The buyer’s champion can approve any step.

When every sub-stage is approved, the stage counts as approved. Approvals never block the deal from moving through its stages. They do block signing, though: the buyer can sign only after every sub-stage that needs approval and comes before the offer has been approved. See Checkout and signing.

A room is either Live or Off. The status shows as a dot on the deal’s Buyer Space button and on the deal’s Buyer Space tab.

  • Off: only your team can open it, in preview or configure mode.
  • Live: invited buyers can open it with their links.

Going live doesn’t email anyone. The buyer hears about the room only when you share a link or send an invitation. You can turn a room off again at any time from the deal page. See Go live and share.

Once the deal is closed, the room becomes read-only for buyers (“Read-only. This deal is closed”).
