Inviting colleagues

Buying decisions usually involve more than one person — security, legal, finance, the people who’ll use the product. You can invite them into the Deal Room yourself, and decide what each of them sees.

  1. Open the People panel (on a phone, tap the avatars in the header).
  2. Click Invite a colleague.
  3. Fill in their Name and Work email.
  4. Choose Their role — for example Technical reviewer, Security reviewer, Legal reviewer or Finance approver.
  5. Under What will they do here?, choose:
    • Review and approve — they sign off on the steps assigned to them.
    • Review and acknowledge — they look over steps and mark them as viewed, so you know they’re following along. No sign-off needed.
  6. Under Stages they can open, tick the stages they should see. Ticking a stage includes all of its steps; untick individual steps if you want to narrow it further.
  7. Click Send invitation.

Your colleague gets an email with their own personal link. Their name appears in the People panel under Your team.

  • Only the stages you tick. The rest of the room stays invisible to them — not just hidden on screen.
  • Never more than you can see. You can only share stages you have access to yourself.
  • Pricing follows the stages. If the quote sits in a stage you don’t give them, they won’t see prices, and the AI Concierge won’t discuss pricing with them either.
  • Shared conversations. Like everyone in the room, they can read and post in Team chat.

If you’re the project lead for your company on this deal, you can change what a colleague can do:

  1. In the People panel, click the colleague’s name.
  2. Update their role, permission or stages.
  3. Click Save changes.

Changes apply the next time they open the room. Selecting no stages at all means they can see everything.

The project lead can also nudge a colleague — the bell button on their row sends them a reminder that something is waiting on them.
