Tasks

My Tasks is the first item in the sidebar. It collects everything you need to do across all your deals in one list, and the number badge next to it shows how many tasks are open. The page itself is titled Tasks.

Each deal also has its own Tasks tab in the Deal Cockpit that shows the same tasks for just that deal.

Most tasks are created for you. Each one is labeled with a type:

TypeWhat it is
AlertA risk the Shadow spotted on a deal, such as a competitor mention or a buyer going quiet.
Buyer requestSomething a buyer asked for, including questions the Shadow couldn’t answer on its own.
Methodology stepThe next step your sales methodology calls for at the deal’s current stage.
Action itemA to-do, either one you created yourself or one created from another source.
MeetingA scheduled meeting with the buyer.

Each task also has an urgency: Urgent, High, Medium, or Low.

  • Search task, deal or stakeholder finds tasks by text.
  • Filter by Type, Urgency, Deal, or Due date. The due-date options are Overdue, Due today, Due this week, and No due date.
  • Use the Time / Deal switch to group tasks by when they’re due, or by deal. In Deal grouping, click a deal’s name to open its Cockpit.
  • Click Collapse all or Expand all to fold or unfold the groups.

Open tasks are listed first. Snoozed and Done tasks appear in their own collapsible sections at the bottom.

Click a task to open it in a side panel with its full details and history. Each task tile also has buttons you can use without opening it:

  • Resolve: marks the task as done and moves it to Done.
  • Snooze: hides the task for 1 hour, 24 hours, 1 week, or 1 month. It comes back to your open list when the time is up. Click Unsnooze to bring it back sooner.
  • Edit: changes a task you created.
  • Reopen: puts a done task back on your open list.

Some tasks show a suggested next move, such as a reply the Shadow can draft. Clicking it opens the task and prepares that move for your approval. Nothing is sent until you approve it.

A tile may also show a waiting tag:

  • Waiting on …: the task is waiting for someone.
  • Replied: the buyer has answered.
  • Follow-up due: it’s time to chase.
  1. Click New task.
  2. Deal & type: search for the deal (recently updated deals are listed first), then choose Action item or Meeting.
  3. Details:
    • For an Action item, enter a specific Title and an optional Description.
    • For a Meeting, enter a Meeting title, choose Invitees, and optionally write an agenda. Under When, choose one of:
      • Pick a time myself: set the date, time, and Duration.
      • Use Shadow to set it: choose who to Book with. When you open the task, the Shadow prepares the booking for your approval, and the date fills in once the meeting is booked.
  4. Reminder & review: set the Urgency and due Date and Time, and choose your reminder and calendar options (see below). Check the summary.
  5. Click Create task.

You can also create tasks from a deal’s Tasks tab in the Cockpit.

On the Reminder & review step, turn on Remind me before this task to get a nudge ahead of the due time:

  1. Choose where to get it: Email or Slack.
  2. Set how many minutes before the due time (the default is 15).

To change or turn off a reminder later, open the task.

Turn on Add to my calendar to add the task to your connected calendar when you save it. If no calendar is connected, connect one first under Settings → Integrations. See Integrations.

When a meeting ends, its task asks how it went:

  • Write the summary or Dictate it: capture what happened. Shadows uses your summary to suggest next steps.
  • It didn’t happen…: choose one of:
    • Reschedule it: a reschedule note with new times is drafted into your approval queue.
    • It moved to…: pick the new date.
    • It was cancelled: closes the meeting with no follow-up.
  • Resolve without a summary: close the meeting without notes.

If you open a meeting before it ends, Shadows reminds you that it will ask how it went an hour after it finishes.
