Connecting your CRM
Connecting your CRM brings your companies, contacts and deals into Shadows, keeps them up to date, and lets Shadows write key changes back so your CRM stays the record of truth.
Who can use it: Admins and Managers can connect a CRM and open its page from Settings → Integrations. Field mapping on Zoho is Admin-only.
Which CRMs are supported
Section titled “Which CRMs are supported”| CRM | Status |
|---|---|
| HubSpot | Available |
| Zoho CRM | Available |
| Salesforce | Coming soon |
| Pipedrive | Coming soon |
If you also use Shadows’ built-in CRM, see CRM for how records appear in the Deals, Companies and Contacts lists.
Connect your CRM
Section titled “Connect your CRM”- Go to Settings → Integrations.
- On the CRM card, click Connect on HubSpot or Zoho CRM.
- Sign in to your CRM and approve access.
- Back in Shadows, click Manage on the tile to open the CRM’s page.
The first full sync starts on its own. For HubSpot, it pulls companies, then contacts, then deals, then deal notes. HubSpot users are matched to your Shadows members so each deal lands with the right owner.
The CRM’s page
Section titled “The CRM’s page”Connection
Section titled “Connection”Shows the connected CRM account, who connected it, its scopes and the Last sync time. Any recent sync error appears here.
Sync data
Section titled “Sync data”Click Sync now to run a full sync. Recent runs lists each sync with its status (for example SUCCESS or FAILED) and what it brought in.
Live sync
Section titled “Live sync”Between full syncs, changes in your CRM arrive through live updates. HubSpot is always shown as Subscribed. For Zoho, the card shows whether a webhook is registered; if it says Not subscribed, click Re-register. Until then, changes only arrive at the next scheduled sync.
Field mapping (Zoho)
Section titled “Field mapping (Zoho)”For Zoho, choose which CRM field feeds each Shadows field for companies (name, domain, industry, size band), contacts (name, email, phone, title) and deals (name, amount, stage, expected close date, description). Under Automation, you can also log outbound emails as a Zoho Note.
Pipelines
Section titled “Pipelines”Choose which CRM pipelines to bring in and where their deals land:
- Tick the pipelines to sync. If none are ticked, deals from every pipeline are brought in.
- For each pipeline, pick the Target Deal Flow Template.
- Map each CRM stage to a stage in that flow, or leave it as “map later / ignore”. Click the wand to Fill empty mappings automatically.
- Click Save pipelines.
If you change the mapping after deals are already imported, click Apply to existing deals to move them to their new stages without a full re-sync.
Sync to your CRM
Section titled “Sync to your CRM”Choose what Shadows writes back to the matching CRM deal:
- Push notes / logged emails as CRM notes — Shadow and seller notes plus outbound emails.
- Push deal amount changes.
- Push deal stage changes.
Options marked Coming soon (pushing quotes and meetings, creating or updating contacts and companies) can’t be turned on yet.
Disconnect
Section titled “Disconnect”Click Disconnect at the bottom of the page to stop syncing with your CRM.
Import your team from the CRM
Section titled “Import your team from the CRM”Once HubSpot is connected, you can invite your CRM users and recreate your CRM teams from Settings → Team → Import from CRM…. See Team and roles.
